A large network matters only when the match is verified.

NotarySpan has access to a large nationwide sourcing network for mobile coverage across all 50 states. Our standard verifies commission status, assignment-specific credentials and experience, method eligibility, and current availability before an individual professional is confirmed.

What “verified” means here

A network listing is not the finish line. Commission status, current availability, credentials, experience, location, service method, and assignment requirements are reviewed for the specific placement.

Six controls from placement through closeout.

Access to a large nationwide sourcing network expands the search surface. It does not turn every listed professional into an automatic fit. A notary's commission establishes authority within the issuing jurisdiction. A professional signing assignment can require more: relevant experience, client-requested documentation, clear instructions, the correct service method, and a defined route for exceptions. NotarySpan confirms those layers assignment by assignment.

When a signing does not follow the plan.

Cancellation or loss of availability

The change is time-stamped, the client is notified through the defined contact path, and replacement coverage is pursued when timing, geography, and transaction requirements still allow it. Replacement is confirmed—not presumed.

Execution or document-handling concern

The concern is documented and returned to the authorized client or recipient for direction. A lawful corrective appointment can be coordinated when requested, but NotarySpan and the notary do not choose legal language or alter documents independently.

Missed milestone or unresolved issue

The assignment remains open until the required next action, client decision, replacement, return evidence, or documented terminal outcome is recorded. The issue-resolution clock and outcome category support later performance review.

Commission verification

Placement begins with the notary's state commission and its active status. A commission is treated as authority to perform permitted notarial acts—not as proof of separate training, screening, insurance, experience, or RON authorization.

Assignment-specific credentials

The review can include background-screening status, errors-and-omissions coverage, relevant signing experience, technology readiness, or other credentials required by the client, recipient, platform, or assignment.

Fit & availability confirmation

Location, timing, document category, requested notarial act, experience, service method, recipient requirements, and current professional availability are considered before confirmation.

Instruction control

Written appointment, execution, scanback, shipping, and delivery instructions remain attached to the assignment so the notary is not expected to infer missing requirements.

Exception & recovery control

Identity, document, eligibility, cancellation, delay, or execution issues are documented, routed to the authorized party, and moved to recovery or replacement when the assignment still supports that path.

Measured closeout

The assignment records its outcome and required evidence, such as signer-contact status, completion confirmation, scanback, shipping detail, delivery handoff, or issue-resolution milestone.

Independent judgment remains with the notary.

The assigned notary is responsible for the notarial act under the law governing the commission. The notary evaluates identification, personal appearance, willingness, awareness, certificate requirements supplied by the authorized party, and any other conditions required for the act. A notary may pause or decline an act when permitted or required by law.

NotarySpan coordinates the assignment but does not direct a notary to overlook a legal requirement, select a certificate for a signer, or proceed when the notary's independent judgment says the act should not continue.

NotarySpan does not provide attorney services. If an attorney or another licensed professional is required, the requesting party supplies that participant.

Additional review for remote sessions.

Remote online notarization adds a separate authorization and technology layer. Before a session is coordinated, the review considers the notary's RON authority, platform requirements, identity-proofing process, document eligibility, signer location, and acceptance by the receiving or recording organization.

A remote-capable notary and platform do not make every document or transaction eligible for RON.
